An AI can talk to customers well, but to take an order it needs a clear plan: what to ask and in which order. That plan is called a flow.

What is a flow?

A flow is a conversation script that guides the customer step by step to a result — a purchase, a booking, a delivery, an installation or a support request. The AI understands what the customer needs and starts the right flow itself.

What is a slot?

A slot is one piece of information to collect inside a flow, such as “size”, “address” or “phone number”. For each slot you write the questions the AI will ask and can allow image uploads.

How flows work in AITOOLS

Choose the flow type: sales, support, delivery or installation.

Add slots and set their order.

During the chat the AI fills the slots — if a customer gives several details in one message, it recognises them all.

A customer card is created in the CRM as soon as the first details arrive.

When every slot is filled, a ready order is created and your admin is notified.

Examples

Clothing store

Product → size → colour → delivery address → phone number.

Clinic or beauty salon

Service → preferred date and time → name → phone number.

Restaurant delivery

Dishes → quantity → address → payment method → phone.

Installation service

Product → installation address → convenient time → photo (if needed) → phone.

5 rules for a good flow

Ask only what you really need — every extra question risks losing the customer.

Ask for the phone number early enough, not at the very end, so you can still get in touch.

Write questions in natural, conversational language.

Write several variants of each question so the AI doesn’t sound repetitive.

Test the flow in the dashboard before going live.

FAQ

Can several flows run at once?

Yes — for example sales and support flows work together and the AI picks one based on the customer’s intent.

Who sets up the flow?

You can build it in the dashboard, or our team will set it up for free based on your sales script.

Read also

How to train AI on your business

Why orders get stuck

Try AITOOLS: start free for 2 weeks (1,000 AI replies, no card) or let our team set everything up for free.
